AI for accountants: work on client ledgers without exposing clients
General ledgers, supplier invoices, year-end packs and client letters are exactly what AI is good at. Hidden Tokens lets your firm use it on them without handing over who your clients are.
- Client and supplier names, invoice and voucher numbers, VAT and company identifiers are coded on your computer before the AI reads the file.
- The chart of accounts, tax names, financial-statement headings and software names stay readable, so the AI can still do accounting.
- You decide what happens to amounts, column by column: readable, replaced by consistent placeholder values, or scaled by a secret factor so totals and ratios stay right.
- The real figures and names go back into the Excel or Word file the AI produced, on your computer.
Why accountants need more than an enterprise AI plan
An accounting file identifies its client on every line: the company name, its registration and VAT numbers, its suppliers and customers, its bank details, sometimes its directors' salaries. An enterprise AI plan improves the contract with the provider, but the provider still receives all of it. Hidden Tokens removes the identities before the file leaves your firm.
What the accounting pack codes, and what it keeps readable
| Coded | Kept readable |
|---|---|
| Client, supplier and customer names | Chart of accounts and account labels |
| Invoice, voucher and journal-entry numbers | Taxes and tax authorities |
| VAT numbers and company identifiers (SIRET, ICE, IF, RC, CNSS) | Financial-statement headings |
| IBANs, card numbers, addresses, emails | Accounting software and file formats |
| Amounts, if you choose | Dates and periods |
Three ways to handle the numbers
- Readable: the AI sees the real amounts. Fine for most invoices, where the amount alone identifies no one.
- Placeholder values: each number is replaced by a consistent fake value. The AI builds the workbook; the real figures come back on your computer.
- Secret factor: one hidden multiplier per sheet. Totals, variances and ratios stay exactly right; the real levels stay hidden.
Hidden Tokens proposes a mode for each column from its header and shows it in the plan before coding; you correct it in one click.
A typical workflow
- Drop the client's ledger export and supplier invoices into a watched folder.
- Ask Claude: "Reconcile the supplier balances and list unmatched invoices for
SOC-004." - Hidden Tokens restores the supplier names and amounts in the Excel file the AI produced.
For a whole firm, the organisation registry keeps the same code for the same client on every computer, and the coverage report shows which workstations are protected. See the benchmark for how amounts were handled in our tests.
Frequently asked questions
Can the AI still build formulas and pivot tables if amounts are hidden?
Yes. In "protect" mode every number becomes a consistent placeholder value: the AI sees the structure and builds formulas, pivot tables and charts. Hidden Tokens then puts the real values back into the workbook on your computer.
Which identifiers does the accounting pack recognise?
Invoice, voucher and journal-entry numbers, French intra-community VAT numbers, and the French and Moroccan company identifiers (SIRET, ICE, IF, RC, CNSS, patente). IBANs from any country, cards, emails and phone numbers are recognised by the core engine. Identifiers from other countries can be added as custom rules.
Are client amounts treated as confidential?
By default, columns that reveal someone's finances (payroll, revenue, results, balances) are protected and ordinary invoice amounts stay readable. You can switch any column, or a whole client folder, to "protect".
